Service Terms and Conditions for Merit Cleaners LLC

By booking cleaning services with Merit Cleaners LLC, you, the customer, agree to the following Terms and Conditions:

1. Service Description and Availability

Types of Services Provided: Merit Cleaners LLC offers a variety of residential and commercial cleaning services, including:

  • One-time Cleaning: A single service for immediate cleaning needs.
  • Recurring Cleaning: Weekly, bi-weekly, or monthly cleaning services.
  • Deep Cleaning: A thorough cleaning of your property, often including areas that are not cleaned in regular sessions.
  • Move-In/Move-Out Cleaning: Tailored cleaning services for homes or businesses during relocation.
  • Post-Construction Cleaning: Cleaning services following renovation or construction projects.
  • Specialized Services: Includes window cleaning, carpet cleaning, appliance cleaning, and more.

Merit Cleaners LLC will confirm service availability based on the customer’s location and preferred time. In rare instances, if a service cannot be completed due to factors outside of our control (e.g., weather, staff availability), we will notify you as soon as possible to reschedule the service or offer alternatives.

 

2. Booking Process and Service Confirmation

Initial Contact and Scheduling:

  • Upon receiving your request for a cleaning service, we will gather essential information including your property address, the type of cleaning needed, preferred date and time, and any special requests.
  • Once we’ve verified availability and confirmed the scope of the job, we will send a quote based on the service type, property size, and any add-ons.

Estimate and Agreement:

  • Estimates are provided based on a combination of hourly rates or flat rates, with additional costs for add-ons such as windows or oven cleaning.
  • Customers will be required to agree to the terms and pricing before the cleaning appointment is confirmed.

Service Confirmation:

  • A confirmation email and/or SMS will be sent with appointment details (date, time, staff assigned, and service overview).
  • We ask for confirmation 24–48 hours prior to the appointment.

 

3. Payment Terms and Cancellation Policy

Payment Structure:

  • Payment will be processed upon completion of the cleaning service, unless otherwise agreed upon.
  • Accepted payment methods include credit/debit cards, bank transfers, and PayPal.
  • All payments must be made within 7 days of the service date unless otherwise specified in the contract.

Cancellation Policy:

  • To cancel or reschedule your appointment, please provide at least 24–48 hours’ notice prior to the scheduled service date.
  • A 50% cancellation fee may apply if the service is canceled within 24 hours of the appointment or if the customer fails to provide access to the property.
  • For recurring cleaning services, customers must give at least 48 hours’ notice to cancel or reschedule. Failure to do so will result in a cancellation fee equal to one full cleaning service.

Refunds:

  • Refunds will be issued only in the case of non-performance of services or if the customer is dissatisfied with the cleaning service (after an inspection and resolution attempt).
  • If the client requests a refund for poor quality, Merit Cleaners LLC will investigate and, if applicable, rectify the issue by re-cleaning the areas in question.

 

4. Service Execution and Client Responsibilities

Pre-Service Preparation:

  • Clients should remove any fragile, valuable, or sensitive items from areas to be cleaned. While we take care with all items, Merit Cleaners LLC is not responsible for any items left unsecured.
  • Pets should be contained or removed from areas being cleaned to ensure the safety of both the pet and our cleaners.
  • Access to the property must be provided as scheduled. If keys or codes are required for entry, they should be provided in advance.

Work Quality:

  • Our cleaners are trained to follow industry-standard procedures for residential and commercial cleaning, utilizing eco-friendly, non-toxic products where possible, as well as commercial-grade equipment.
  • We aim to provide a high-quality service; however, if any issues arise, clients should contact us within 24 hours of service completion to report any dissatisfaction. We will resolve the issue promptly at no additional charge.

Health and Safety:

  • All cleaning staff are insured and trained in proper safety protocols. We comply with OSHA (Occupational Safety and Health Administration) standards to ensure both the safety of employees and customers.
  • In case of an accident, injury, or damage during the cleaning process, Merit Cleaners LLC is covered by liability insurance, and any claims will be reviewed on a case-by-case basis.
  • Our employees are trained in handling chemicals and equipment to avoid harm. If a customer has specific allergies or sensitivities to cleaning products, they must notify us in advance so we can accommodate their needs.

Security and Liability:

  • Merit Cleaners LLC takes precautions to ensure your property’s safety during cleaning, including background checks for all employees. However, we recommend securing high-value items before our cleaning team arrives.
  • Merit Cleaners LLC is not liable for any damage to property caused by pre-existing conditions (e.g., broken furniture, aging surfaces) or failure to properly secure items during the cleaning service.

 

5. Confidentiality and Privacy

  • Privacy of Customer Information: We respect the privacy of our customers and will not share or sell any personal information. Any information shared with Merit Cleaners LLC (such as billing, contact, and service details) will only be used to provide cleaning services.
  • Confidentiality Clause for Employees: All employees are expected to maintain confidentiality regarding customer homes, business properties, or any sensitive information they may encounter during cleaning tasks.

 

6. Changes to Terms and Conditions

  • Merit Cleaners LLC reserves the right to amend these Terms and Conditions at any time, with notice provided to customers via email. Continued use of our services constitutes acceptance of the updated terms.

 

7. Governing Law

  • These Terms and Conditions are governed by the laws of the State of North Carolina. Any disputes that may arise between Merit Cleaners LLC and its clients will be addressed in accordance with the jurisdiction of the North Carolina courts.
